WrenchLedger is a private inventory for your workshop — what you own, what it's worth, where it lives, and who borrowed it. Built for the phone in your shop apron.

Not all features are currently available - we're still in development. Solo features are mostly fully-featured but Shop features are under active development.

What it does

Full inventory

Every tool with its brand, model, serial number, condition, quantity, and value. Search and filter across all of it in one place.

Photos & receipts

“Take photo” opens your phone camera directly. Keep up to a dozen photos per tool plus the receipt — as a photo or a PDF. Everything is stored privately. Download your photos and receipts at any time, or print them in the insurance report.

Nested storage locations & kits

Model your real shop: garage → toolbox → drawer 3; up to five levels deep. Filter by a location and see everything stored anywhere inside it. Set up kits of specific tools and check or loan them out together. Kits could be job specific, project specific, a set of wrenches, or just a favorite set of tools you always want to keep together.

Lending log

Record who borrowed a tool, their contact, when it went out, when it is due back, and the condition it left and returned in. On-loan tools are flagged in the list.

Maintenance log

Repairs, sharpening, calibration, inspections — with dates, costs, who did the work, and a next-due date that flags upcoming service.

Insurance report

One click builds a print-ready document of your whole inventory — photos, serial numbers, receipts, and declared values — ready to save as a PDF for a claim. Loan, maintenance, spending, condition, storage-audit, and documentation-gap reports live alongside it.

Dashboard & reminders

A dashboard surfaces what needs attention — overdue and upcoming loans, service coming due, expiring warranties, and inventory gaps — with a due-count badge in the nav. Opt into a once-a-day email digest, or push it to your own Ntfy topic or PushBullet.

Warranties & documents

Track warranty vendor, term or expiration, and claim details. Attach typed documents — receipt, manual, warranty, calibration certificate, service record, or other — as an uploaded file, a link, or both.

Meters, lifecycle, & value history

Record hours, cycles, or odometer readings and schedule service by date or by meter interval. Give each tool a lifecycle state (active, stored, under repair, missing, sold…), and keep a history of its declared value.

Serial numbers & engraving

Generate shop-unique serial numbers from your own recipe — prefix, random part, suffix, and name, date, and sequence placeholders — and export a header-less CSV for laser-engraving software such as LightBurn.

Backups you control

Download a complete ZIP backup — structured JSON, a CSV, and every uploaded photo and document — any time. Your data is never locked in.

How it works

  1. Sign in with a one-time code. Enter your email, get a 6-digit code, type it in. There are no passwords to remember — or to leak.
  2. Add your first tool. Only the name is required; brand, serial number, value, and the rest can come later. Tap Take photo on the tool page and your phone camera opens straight away.
  3. Organize it your way. Tag tools with categories and put them in storage locations that nest like your real shop — building, cabinet, drawer - up to five levels deep. Manage both on the Lists page.
  4. Lend and maintain. Each tool page has a Loan panel (lend it out, mark it returned, optionally email the borrower) and a Maintenance panel (log service, costs, and when the next one is due).
  5. Stay ahead of it. The Dashboard flags what's overdue or coming due and any gaps in your records. Opt into a daily email digest — or an Ntfy/PushBullet push — under User Settings.
  6. Print the insurance report. The Reports tab lays out your whole inventory with photos, serials, receipts, and values. Use your browser's print dialog and choose Save as PDF.

Private by design

All accounts start with a 30-day free trial. Sign-in uses one-time email codes instead of passwords. Every tool, photo, and record is isolated to its owner inside the database itself — not just in the interface — and images are kept in private storage that only your own signed-in session can read. All changes are audit-logged. No ads, no trackers, no selling your data.

Common questions

Why a subscription?

WrenchLedger is an ongoing service, not a one-time utility: it securely stores and backs up valuable records, syncs them across devices, sends maintenance and warranty reminders, and continuously maintains security and reliability. A subscription aligns the price with that continuing value and the recurring infrastructure required to protect a user’s inventory over time.

My sign-in code never arrived.

Check your spam folder first. Codes expire after a few minutes, so request a fresh one from the sign-in page if it has been a while.

Who can see my tools and photos?

Only you. Every record is isolated per user in the database itself, and photos live in a private bucket that is only reachable through short-lived signed links generated for your session.

Can I get my data out?

Any time. User Settings → Data & backup exports your whole inventory as a CSV and builds a complete ZIP backup (JSON + CSV + every uploaded file). The Report page produces printable PDFs with photos and values. Your data is never locked in.

How do reminders and the daily digest work?

The Dashboard shows anything overdue or coming due — loans, service, recurring schedules, and expiring warranties — within a lead-time window you set in User Settings → Reminders. Turn on the email digest (User Settings → Email) to get one message a day, but only when there is something to report. It sends through the shared app sender or your own SMTP server. There is also a “Send my digest now” button for testing.

Can I get notifications on my phone without email?

Yes. Under User Settings → Push you can send the same daily digest to your own Ntfy topic or to PushBullet. Both are optional and independent of email; each has a “send test” button so you can confirm it before relying on it.

I lend tools out — can WrenchLedger email the borrower?

Yes. Add the borrower’s email to a loan and enable “Notify borrower”, and they’ll get an email when you lend the tool, when you mark it returned, and — if you tap the dashboard’s Remind button — a gentle overdue nudge. Replies go straight to you. Every borrower email carries a one-click unsubscribe link; once used, that address stops receiving loan emails until an administrator clears it.

Can I customize the emails WrenchLedger sends?

In User Settings → Email you can set a sender display name and a subject prefix, and supply your own HTML body templates for both the reminder digest and borrower emails using placeholders like {{items}}, {{tool_name}}, and {{message}}. Leave a template blank to use the built-in layout.

Tapping “Take photo” does nothing on my phone.

Your browser almost certainly lacks the phone’s camera permission. On Android, long-press the browser icon (Chrome, Samsung Internet, …) → App info → Permissions → Camera → Allow. On iPhone, go to Settings → Apps → your browser → Camera. Also make sure you opened WrenchLedger in a real browser — links opened inside mail or chat apps often can’t use the camera; use the menu to “Open in browser”. In the meantime, “Choose files” still works and offers the camera in most photo pickers.

Is there an app for my phone?

WrenchLedger is a website built phone-first — big touch targets, a camera button that opens your rear camera, and layouts that fit one hand. Install it as a PWA and it works like an app.

What categories should I use?

You can use any categories that make sense for your shop. A good category list ensures tools are assigned to as few categories as possible with a minimal overlap and a few modifiers (such as power tools).
